Citizen Affairs Unit

The Citizen Affairs Unit is an administrative unit under the Office of the respected Dean, established on 3rd May 2017, to address the concerns of citizens by receiving their requests, issues, suggestions, and inquiries related to the institute and working to resolve them through the relevant authorities. In this context, “citizens” refers to the students, staff (teaching, technical, and administrative), and external visitors of the institute. The unit is considered one of the important and effective ones, as it plays a significant role in providing services to citizens, solving their problems, and meeting their needs as quickly as possible. This unit reflects a civilizational state in developed societies and institutionalized states, strengthening the relationship between the citizen and the institute in a framework of transparency and mutual respect.

 

Objectives:

  1. 1. Represent the Citizen Affairs Unit and the respected Dean in matters concerning the citizens, including students, staff (teaching, technical, administrative), and external visitors..
  2. 2. Provide the best facilities and services to citizens, overcoming any difficulties they may encounter at the institute and ensuring their transactions are completed within the designated timeframes.
  3. 3. Direct supervision of organizing meetings with the respected President of Al-Furat Al-Awsat Technical University, as per the directives.
  4. 4. Direct supervision of organizing meetings with the respected Dean to listen to citizens’ complaints and requests.
  5. 5. Respond to inquiries from visitors concerning matters related to the institute and direct them to the relevant departments or sections.
  6. 6. Reflect a civilizational state in developed societies and institutionalized states, reinforcing the relationship between the citizen and the institute within a framework of transparency and mutual respect.

 

Unit’s Operational Mechanism:

  1. 1. Receive citizens, listen to their complaints, and direct them to the appropriate department or section.
  2. 2. Respond to inquiries and provide answers according to legal provisions.
  3. 3. Communicate with the respected assistants, academic departments, administrative departments, sections, and units regarding citizens’ requests or to provide opinions on them..
  4. 4. Write the request clearly using the unit’s specific form..
  5. 5. Receive all requests directed to the respected Dean and present them for his opinion.
  6. 6. Receive all requests submitted for a meeting with the respected President of the University and coordinate with the Citizen Affairs Unit at the university to schedule the meeting. Direct communication with the university’s Citizen Affairs Unit if the request or complaint concerns the respected University President
  7. 7. Monitor the Citizen Complaints Box daily.
  8. 8. Monitor the university’s Citizen Affairs group, which includes official notifications for expediting the receipt and delivery of mail related to the Citizen Affairs Unit.
  9. 9. The unit also receives citizens’ requests via email and answers their inquiries.

  3. 3. Submit a complaint to the Citizen Complaints Box located in the Dean’s Building, near the Citizen Affairs Unit, ensuring the complainant’s name is written on it..
